Thank you for your interest in volunteering! GalaxyCon is an exciting festival of fandom that is constantly growing and bringing new shows to cities across the country. Our success has allowed us to add animation and horror themed shows to our expanding lineup. With an operation of this size, we rely on dedicated volunteers like you to help us make our shows a success. In other words, we couldn't do it without people like you!
There are many reasons to volunteer. Some of our volunteers just want to earn a free pass. Others are interested in seeing the inner workings of a large convention. Those are both perfectly good reasons! However, we find that the majority of our volunteers do it because it allows them to be a part of something that they love. We've seen friendships built through volunteering at our shows. We've seen dedicated volunteers come back every year or even travel across the country to help out at our shows. It's amazing! And it's all because our volunteers take pride in being part of our shows.
All of our volunteers receive the following:
We have several different departments that you can volunteer for! Are you good with people? You may be a good fit for either Registration or Guest Relations! Do you have experience in theater or drama club? Programming could be a good fit for you! Do you love video games or table top RPGs? You could try working in our gaming area!

We will review your application and send you either an Approved or Rejected email. This may take a few weeks as we have several shows that we need to process applications for. Please keep an eye on your email inbox and be sure to check your Spam folder.
Once your application has been approved and a schedule has been created for you, you can access it any time by logging into the Eventeny website and accessing your application. If your department is showing as Approved and in green, the dates and hours listed underneath are your schedule.
We do not enforce a strict dress code. When you check-in for your first shift, you will be provided with a volunteer t-shirt to wear during your shift. These are unisex, "true to size" fitting shirts.
* If you plan on enjoying the convention either before or after your shift, please DO NOT wear your volunteer shirt.
You are welcome to wear most any type of bottoms that you would like including: jeans, pants, shorts, skirts, skorts, leggings, and kilts. Please make sure that whatever you wear is clean and not revealing. You may bring a jacket or a sweater with you. Conventions are typically warm, but when you are sitting for long periods of time, it can get chilly.
This is up to you, but we highly recommend that you wear comfortable footwear, especially if your position will require you to stand for long periods of time.
Anyone volunteering in the Cosplay department may wear a costume as long as they can still wear their volunteer shirt over top of it. All other department volunteers are not permitted to wear costumes during their shift. You are welcome to change into a costume after your shift is over.
Parking is at your discretion. GalaxyCon has no authority over local parking lots and is unable to offer free or reduced parking. We also do not reimburse for parking.
Typically, you will use the main entrance into the convention center. If there is a line waiting to get in when doors open, please skip the line and let security know that you are a volunteer. The Volunteer Check-In table will be located near Registration.
Please do not show up super early for your shift unless you have a shift later in the day and plan on attending the convention before your shift starts. A good rule is no more than 30 minutes early, especially for any volunteers that start at 8:00am.
Yes! This is similar to clocking-in and out at a job. Not only does this allow us to record your volunteer hours, it also allows us to keep track of the volunteers that are in each department at any time.
Yes! We will have a volunteer breakroom at every show. Please look for the room number at Volunteer Check-In. There will be free bottled water available in here and pizza will be dropped off throughout the day. This room and the refreshments inside are only available to volunteers and only while you are actively volunteering, including within 1 hour before or after your shift. Please do not leave personal possessions in the Volunteer Breakroom as it will be unmonitored. Your department will have a place for you to keep a bag.
Yes, you are welcome to bring your own meals and snacks. We don't have any way to refrigerate food, so if you plan to bring your own food, please take that into consideration.
Yes! If you have an early shift, when you check-out, you can request a badge that will let you enjoy the convention for the remainder of the day. If you have a shift later in the day, you're welcome to come to Volunteer Check-In to get a badge that will allow you to enjoy the convention before your shift starts.
Some of you will have schedules where you don't complete your 10 hours until later in the weekend. If that's the case, you may still come and enjoy the convention on a day that you are not scheduled to work.
Example: You are scheduled to do a 5 hour shift on Friday and another 5 hour shift on Sunday. You are not scheduled to work on Saturday, but you would like to come to the convention that day. Just come to the Volunteer Check-In table on Saturday and you will be given a badge for that day based on your commitment to return on Sunday to finish your house. This is only for volunteers who are scheduled to work at least 10 hours.
No. If we provide you with a Volunteer badge at this show, this is only for you to wear while you are working. You must get a regular daily badge at Volunteer Check- In to attend the convention. Volunteer badges will be handed out and collected when you check-in and out for your shifts. After all of your shifts are done, you will be able to keep one as a souvenir.
No. The badge that you earn is only good for you and is not transferable to someone else.
Yes. We ask that you try to do these things when you are not on a shift, especially autographs, which are not a timed event. However, there may be Photo Ops and panels scheduled at the same time that you are working. Please talk to your department team lead to arrange time to do this.
No. The 10% discount is for GalaxyCon merchandise only. We will have a booth in the Exhibitor Hall where you can use this discount.
We understand that sometimes things happen that are out of your control. If you run into a situation where you are going to be late or you are unable to make it for your scheduled shift, please let us know as soon as possible by sending an email to:
Please keep in mind that department schedules are created based on shifts that you have committed to. Due to the number of volunteers, some departments will have just enough coverage provided. When a volunteer is a No Show, that can leave a department short handed. Please try to let us know as soon as possible if your availability changes.
